首先要明确易峰正确的邮件分为四个部分:标题+称呼+正文+落款,下面会分这四个部分讲解。

1.1 标题要简明扼要。

教授每天都要处理大量邮件,所以抛开国内含蓄的传统,直接亮明邮件来意即可,必要时附上个人信息,例如 student ID 等。

  -留学生常用的邮件标题关键词大概如下:
  -博士申请Ph.D. application 
  -奖学金申请Application for scholarship 
  -作业提问 Question about essay 
  -请假 Excused Absence
  -约时间见面 Asking for an appointment 
  -请求延期Extension for xxx 

1.2 称呼要严肃有礼貌

称呼可以直接用对方的正式头衔。美国老师都比较在意别人对他们的称呼,而且他们并不喜欢学生称呼他们为teacher,也不要以Mr. Mrs 称呼,这样会显得很rude。最好是用“Dear Professor + Last-name.” 如果导师是有PhD学位,那最好称呼他为Dear Dr. + Last-name.

1.3 邮件正文

正文分为几个部分:

(1)简单问候
(2)自我介绍
(3)你邮件的目的
(4)详细内容

问候语

常见的问候语可以用:Hope this email finds you well. / I hope all is well. / We send you our best wishes.

疫情期间也可以用:I hope you are keeping safe.

自我介绍

点明姓名、班级、与教授的联系(方便Ta想起你)即可。

学校的邮箱一般以你的last name作为邮箱名,但不要以为这就可以省去在邮件中的自我介绍。在写邮件正文开头时,一定要介绍自己(名字,班号),同时也要注明你的来信目的。

My name is XX and l am your student in XXX class. 

最好写清楚具体的课号,因为教授很可能同时给同专业的多个课程授课,这样有助于提高沟通的有效性。

自我介绍完之后,可以适当Flatter them,拍拍马屁表示自己非常喜欢他们的课程,例如:I enjoyed your lecture/seminar/XXX.

邮件目的

问候和自我介绍完之后,最好简单明了地告诉教授这封邮件的重点或目的。

I am writing to inquire…我写这封信是想询问...

I am writing in reference to……我写这封信是关于…

I am writing to express my dissatisfaction with… / to complain about… 我想投诉…

详细内容

这是邮件最重要的部分!我们需要高效地向教授表达来意及请求,大家可以记住简单的3C原则,即clear清晰,correct正确,concise简明。

例如:

l have a question about the essay due next Tuesday. (提出疑问)

I am hoping you would be willing to write a strong/positive letter of recommendation (推荐信)

Could you please tell me what to do next? (请求) I would be grateful if you could give me more time to...

Could I please book to see you during your Office Hour on Friday? At 2 pm? (线下约谈)

简言之,不要转弯抹角地写一大堆修饰词,而是直奔主题,把问题直接地写下来,让人一目了然。

值得注意的是,不要通过邮件向教授询问成绩。根据美国FERPA (Family Educational Rights and Privacy Act)法律的规定,分数是属于隐私权的一部分。教授是不能把成绩通过邮件告知(因为有可能被其他人看见,侵犯学生隐私权)。

1.4 致谢落款

此时的教授已经看完你的邮件,别忘了再次发出感谢的彩虹屁~可以用Thank you for your time 或是 Have a great rest of your day.

还要记得在结尾的时候记得要加上你的名字。如果邮件是需要对方回复,最好写上Thank you, and I look forward to hearing from you,以此来提醒对方回复。

最后的落款(别忘了第一个字母大写)要有正式礼节问候:

2.3 向教授要推荐信邮件模板

1).你可以说reference letter requesting from XXX(your name),或者 XXX(your name) requests reference.

2).与其他邮件不同的是要在文中说服对方,为什么要给你写推荐信(重中之重)——

(1)说明你的 Research field 以及 Research interest
(2)简单介绍你正在做的Research project,或者最突出的 Research Achievement
(3)你准备申请哪几所学校的哪些项目,或者哪家公司的哪个岗位

3).彩虹屁不能忘!

4).附上我们的简历、成绩单、也可以加上已经写好的PS,在邮件里也提一嘴,提醒老师查看。

5).最后可以给教授拒绝的权利,委婉地表达自己会充分尊重对方的时间或者个人意志,但别忘了告诉对方:如果不写,不要忘了告诉你,这样你也有时间找新的推荐人。

给教授发完邮件后,通常会面临两种情况:

2)如何礼貌提醒教授回复:

尽量说得简短,因为你上封邮件已经涵盖了所有细节,不需要再复述一遍。
